Most of what's written about Backroads online is a restatement of its own marketing pages — trip descriptions, activity levels, glossy photography. What's harder to find is how the company actually operates behind that page: how an itinerary gets built, how a trip leader gets hired, and how a hotel earns a place on a Backroads route. On June 25, 2026, Elli Travel Group sat down directly with Nick McConnell, Backroads' Travel Advisor Account Manager for the Northeast, for exactly that conversation.

This post is a record of what came out of that session — the operational detail Backroads shared directly with us, not a restatement of its public-facing content. It's organized around the questions we asked, and the answers Backroads gave.

How Backroads Actually Designs a Trip

According to Backroads' own account team, a new itinerary takes roughly two years to go from first

scouting to public booking. The process starts with a trip-planning team that tracks broader travel trends and identifies destinations likely to be popular in the near future. From there, regional experts — many of whom live in or near the destinations they scout — go in person to evaluate possible hiking, biking, and multi-adventure routes, weighing both scenery and trip logistics, including how easily guests can reach the trip's starting point.

Backroads compiles a long list of possible routes each year, then narrows it down at the trip-planning leadership level. Routes that survive that cut move into an infrastructure-building phase: securing leader housing, arranging van support, and locking in hotel relationships — with properties evaluated against Backroads' Luxury, Deluxe, or Casual accommodation tiers. Only after that infrastructure is in place does a trip open for booking, typically the year after the initial scouting work.

How Backroads Selects and Trains Trip Leaders

Backroads' hiring process runs three distinct rounds. The first is a series of video interviews — since Backroads leaders are recruited globally, this stage happens remotely. The second stage adds complex-problem-solving and emotional-intelligence testing, designed specifically to assess how candidates respond in stressful, ambiguous situations. Only candidates who clear both stages are flown to an in-person recruitment round, held at Backroads' Salt Lake City or Utrecht, Netherlands offices, involving simulated on-trip scenarios.

Backroads' own comparison for the resulting selectivity: an acceptance rate of roughly 3%, which the company describes as lower than Yale's undergraduate admission rate. Training after hiring runs anywhere from three to nine months, depending on when in Backroads' rolling application cycle a candidate applies. Leaders are trained not only in group management and cultural knowledge but in practical hard skills — bike repair, and driving manual transmission vehicles for leaders posted in Europe.

The result, per Backroads' internal guest survey data, is an average trip leader rating of 9.8 out of 10 — and a specific operational commitment behind that number: on a rain day, Backroads' policy is not to cancel the planned activity outright. Leaders typically split the group, continuing the activity for guests who want to proceed while leading others to an alternate indoor or cultural activity.

How Backroads Chooses (and Names) Its Hotels

Backroads sorts its accommodations into three tiers — renamed in 2026 from "Premier" to Luxury, alongside Deluxe and Casual. Luxury properties offer five-star quality and service; Deluxe blends high-end comfort with local character, and sometimes mixes a Luxury-tier property with a Casual one across a single itinerary to land at a Deluxe overall rating; Casual accommodations, common on national park and remote-destination trips, trade five-star polish for character and location — described directly by Backroads' team as "views with a room, versus a room with a view."

Property selection isn't based on comfort alone. Backroads' long-standing relationships — more than 40 years with Relais & Châteaux, Belmond, and Auberge Resorts Collection — give it access to small, exclusive properties that an individual traveler often can't book into at the same level. On some departures, Backroads reserves an entire small hotel exclusively for its group; one New Zealand South Island itinerary uses a 15-room property held entirely for Backroads guests for the length of that stop. Properties are also selected specifically for local character and strategic location, positioned to minimize the time guests spend in transit between stops.

What First-Time Travelers Consistently Misunderstand

Per Backroads' own team, the most common misconception is that its trips require athletic-level fitness. In fact, the typical age range on a non-family Backroads departure is 50 to 65. The structural reason this works: Backroads trips are not "follow the leader" experiences. Every traveler follows the same overall route but moves at their own pace, with leaders and the support van positioned at points along the way rather than leading a single-file group — meaning travelers of meaningfully different fitness levels can comfortably share one departure.

A second common misunderstanding involves mileage. A 30-mile biking day, cited directly in our session, typically unfolds across a full six-hour day including stops — not a two-hour push — and elevation, not distance, is generally the better predictor of actual effort.

Meet the Team Behind Elli's Backroads Bookings

Backroads assigns advisor accounts by the advisor's own location. Nick McConnell covers the Northeast territory — Elli Travel Group's primary point of contact — as part of a small Berkeley-based team that includes Alicia (Program Director), fellow account managers Ani and Hanna, and program assistants Amina and Charlotte, with Amina focused primarily on marketing support. That team structure is part of why specific, named-source detail like this session is possible in the first place — Backroads' advisor relationships run through individually assigned account managers, not a general call center.

Why Book Backroads through Elli Travel Group

The real value of booking a Backroads trip through an advisor is in pre- and post-trip planning and destination expertise. There are no planning fees and the rates are exactly the same as booking directly with Backroads.

How This Informs Your Trip

Book earlier for destinations Backroads itself flags as high-demand — the same trip-planning team that spends two years developing a route is also the best-positioned source on which departures are filling up, and that information doesn't always show up as availability on the public site until it's already tight.

Ask what accommodation tier a specific itinerary actually uses, not just the destination. Because Backroads mixes Luxury, Deluxe, and Casual properties within a single trip depending on location and logistics, the tier name on the overall itinerary doesn't guarantee every night matches that standard.

Set expectations on the Virtuoso amenity honestly before booking. It's a nice touch, not a meaningful loyalty benefit — the value case for booking through an advisor should rest on planning and expertise, not on the backpacks.

Who Should Consider This

Travelers Weighing Backroads Against a More Corporate Tour Operator

The all-employee trip leader model, with its unusually selective hiring process, is a genuine structural difference worth understanding before comparing Backroads' pricing to a company that subcontracts local guides.

Travelers Choosing Between Accommodation Tiers

Understanding the "views with a room versus a room with a view" philosophy behind the Casual tier helps set the right expectation for national-park and remote-destination trips specifically, rather than assuming every Backroads hotel matches the five-star Luxury standard.

Repeat Backroads Travelers Curious About the Company Itself

For travelers who've already done a Backroads trip and are considering another, understanding the trip-development timeline and leader-training process adds context that isn't available anywhere on Backroads' own consumer-facing site.

Biggest booking mistake

Assuming every hotel on a Backroads itinerary matches its headline accommodation tier. Backroads sometimes mixes tiers within a single trip — a "Deluxe" itinerary, for instance, can include one Luxury-tier night and one Casual-tier night to land at that overall rating. Ask specifically which tier applies to which night before booking, rather than assuming a uniform standard throughout.

Before You Book Q&A

Does Backroads ever use non-employee guides?

Rarely, and only for specialized local activities — for example, zip-lining in Costa Rica or river rafting in the Canadian Rockies. Every core trip leader is a direct Backroads employee.

How would I know which accommodation tier a specific trip actually uses each night?

We'll confirm the night-by-night tier breakdown for any specific itinerary before you book, rather than relying on the trip's overall tier label.

Is the Virtuoso amenity worth factoring into my decision?

Not meaningfully — it's two backpacks per reservation for Adventure-community travelers, with no planned upgrade as of this briefing. The value of booking through Elli is in the planning and matching, not this perk.

How does Backroads decide which destinations to expand into next?

Through a roughly two-year internal scouting and infrastructure process run by Backroads' own regional experts — not something publicly announced until a trip is close to opening for booking.

What happens if my trip leader has to make a judgment call mid-trip?

Leaders are trained specifically in complex-problem-solving and emotional intelligence as part of Backroads' hiring process, and on-trip situations like bad weather are handled by splitting the group rather than cancelling activities outright.

FAQ

Are all Backroads trip leaders direct employees?

Yes, with limited exceptions for specialized local activity partners on certain multi-adventure trips.

How selective is Backroads' trip leader hiring process?

Backroads cites an acceptance rate of roughly 3%, which the company describes as lower than Yale's undergraduate admission rate, following a three-round process of video interviews, aptitude testing, and in-person recruitment.

What does Backroads' "Luxury, Deluxe, Casual" accommodation system mean?

Luxury properties offer five-star quality and service; Deluxe blends high-end comfort with local character (and can mix tiers within one trip); Casual properties, common on national park and remote trips, prioritize character and location over five-star polish.

How long does it take Backroads to develop a new itinerary?

Roughly two years, from initial destination scouting through infrastructure setup, before a trip opens for public booking.

What is the Backroads Virtuoso benefit?

Two Backroads-branded backpacks per reservation for travelers in Virtuoso's Adventure community, or kids' Camelbak water bottles for the Family community — a modest amenity, not a significant loyalty benefit.

Does Backroads use the same hotels every time it runs a trip?

Its long-standing partnerships (40-plus years with Relais & Châteaux, Belmond, and Auberge Resorts Collection) provide consistent access, though specific property assignments can vary by departure and are confirmed itinerary by itinerary.

What happens on a Backroads trip if the weather is bad?

Trip leaders typically split the group rather than cancelling the activity — some travelers continue with the planned activity while others are led to an indoor or alternate cultural activity.
